Home care software built for Alabama Medicaid EVV.
Alabama routes EVV through Alabama Medicaid's own EVV aggregator. First Support Homecare captures every Medicaid visit with GPS clock-in and clock-out, coded reasons and an audit trail, and builds Alabama's monthly EVV file to the published specification - there is no vendor certification in Alabama, only the vendor id and sFTP folder the state issues.
AI does the paperwork: faxed referrals become client records and any PDF form becomes fillable in minutes. Your staff checks and signs, so a small office keeps up without another hire.

How Alabama collects EVV: a monthly file to the state
Alabama Medicaid runs a provider choice model with an unusual twist: the state is its own aggregator. There is no Sandata or HHAeXchange in between. Each agency uses an EVV system of its choice that meets Alabama Medicaid's requirements, and that system - or the vendor on the agency's behalf - sends Alabama Medicaid a monthly extract of visit data.
The rules are in Alabama Medicaid's EVV Aggregator Reporting file specification (version 1.0, December 5, 2024). The file is TAB-delimited, sent over sFTP, and covers visits for claims billed or invoiced the month before. Alabama loads the validated visits into its own database and joins them to paid claims for compliance, audit and discrepancy reports - including reports that flag agencies that have not sent data at all. Private duty nursing, home health and Technology Assisted (TA) waiver providers also sign an EVV attestation form.
| When | What changed in Alabama |
|---|---|
| December 5, 2024 | EVV Aggregator Reporting file specification, version 1.0. |
| Monthly, by the 5th | File for the previous month's billed visits due by 5:00 PM Central; processed on the 5th at 6:00 PM Central. |
| Monthly, by month-end | Corrected file due by the last day of the month. |
A strict file name
EVV_DATA_<vendor id>_<CCYYMM>_<version>.txt. The vendor ID is assigned by Alabama Medicaid, and each resubmission for the same month takes the next version number.
Two stages of checks
The file name is checked first, then every record. Only records with errors come back; the rest load. A record with several errors appears once for each error code.
Vendors can batch agencies
A vendor that handles EVV for several agencies sends one combined file for all of them.
Coordinates at both ends
Each visit carries the clock-in and clock-out address with latitude and longitude, plus the provider's NPI and the recipient's Medicaid ID.
One aggregator: Alabama Medicaid itself, by monthly file
Alabama agencies live inside Alabama Medicaid Agency's rules, and Alabama collects EVV itself rather than through a third-party aggregator. The software holds each visit until its claim is billed, then files it in that month's file. Provider choice model.
The state is the aggregator
Alabama Medicaid collects EVV visit data from every agency's own system, validates it, and joins it to paid claims for compliance, audit and discrepancy reports. There is no third-party aggregator in between.
One file a month, by the 5th
Each agency, or its vendor, sends a TAB-delimited extract over sFTP covering visits for claims billed the month before. Files received from the 1st to the 5th are processed on the 5th at 6:00 PM Central.
Errors come back per record
A file that fails the name check or the data checks is returned with an error code on every bad record; the corrected file, with the next version number, is due by the last day of the month.
What the software does
Holds each visit until its Medicaid claim is transmitted, then puts it in that month's file and uploads it from the 1st. It reads Alabama's error files back onto the visits, sends fixes as the next version, and splits an overnight visit at midnight, as the specification requires.
What Alabama Medicaid wants, and where the app gets it
Every element the state names, the record it comes from in the app, and where it lands.
| Element | Where the app gets it | Where it lands |
|---|---|---|
| File name | EVV_DATA_<vendor id>_<CCYYMM>_<version>.txt - the vendor id is assigned by Alabama Medicaid | sFTP |
| Recipient | Medicaid recipient name and Medicaid ID | visit row |
| Provider | Provider name and provider ID (NPI) | visit row |
| Service | Date of service, procedure/service code and service name | visit row |
| Caregiver | Name of the individual providing the service | visit row |
| Times and places | Clock-in and clock-out times, and the clock-in/clock-out address with latitude and longitude | visit row |

Book the demoQuestions Alabama agencies ask
Who is Alabama's EVV aggregator?
Alabama Medicaid itself. Agencies, or their vendors, send a monthly TAB-delimited file over sFTP, and the state matches it to claims.
What happens if Alabama rejects an EVV file?
The state returns only the records with errors, each with an error code. The agency corrects them and resubmits with the next version number by the last day of the month.
Does Alabama use HHAeXchange, Sandata or another aggregator?
No. Alabama Medicaid is its own aggregator. Agencies send a monthly EVV data file to Alabama Medicaid over sFTP, and the state matches it to claims.
When is Alabama's EVV file due?
By the 5th of each month at 5:00 PM Central, covering visits for claims billed the previous month. A corrected file is due by the last day of the month.
Does the software send Alabama's file for us?
Yes. It builds the monthly TAB-delimited file from your visits, uploads it to your folder on Alabama Medicaid's sFTP from the 1st, and marks each visit rejected (with Alabama's error code) or accepted once the state's run has passed without an error for it.
Is there a certification in Alabama?
No vendor certification. Alabama Medicaid issues a 4-digit vendor id and sFTP access; the file itself is checked on every submission.
Which Alabama programs does this cover?
Personal care, home health and HCBS waiver services — every service Alabama Medicaid Agency requires EVV for. Alabama Medicaid is its own aggregator: each agency's EVV system sends a monthly TAB-delimited visit file over sFTP by the 5th, and the state matches it to paid claims.
Is there a free trial for Alabama agencies?
Yes. Alabama agencies that bill Medicaid and sign up by December 31, 2026 get 90 days free with no limit on clients: scheduling, the caregiver EVV app, documents, billing and the family portal. AI features are not part of the trial. Private-pay-only agencies get 15 days.
